This policy explains how Ayah Academy collects, uses and protects information when you use our website, learning platform, dashboards and contact services. We aim to collect what we need to deliver education, support and account administration responsibly.
Scope of this policy
This policy applies to Ayah Academy’s public pages; parent, student, teacher and administrator accounts; lessons, reports, games, quizzes and interactive whiteboards; and messages sent to us by email or WhatsApp.
Information we may collect
The information needed depends on the user’s role and the features they use.
- Account and contact details such as name, email address, phone number, username and preferred language. Passwords are stored as one-way hashes; our team cannot view the original password.
- Learner-profile information supplied by a parent or guardian, such as a name or nickname, age group or date of birth, guardian relationship, and an optional profile image.
- Learning and service records such as programs, subscriptions, attendance, lesson notes, reports, ratings, progress, game and quiz results, points, badges, certificates, whiteboard content and uploaded files.
- Administrative records such as plans, coupons, invoices and payment status. We do not ask for a payment card when registering for the free trial, and card details should never be sent by email or WhatsApp.
- Technical information needed for operation and security, such as sign-in time and logs created by our server or hosting provider, which may include browser or device type and network address.
- The content of messages you send through our official contact channels.
How we use information
- Create accounts, authenticate sign-ins, and provide the correct experience for each user role.
- Schedule and deliver lessons, record attendance and progress, and make reports available to the learner, guardian and other authorised users.
- Administer subscriptions, invoices, coupons and service notifications.
- Answer enquiries, provide support, protect accounts and prevent misuse.
- Operate, maintain and improve the platform’s reliability and learning experience.
- Meet legal obligations or protect the rights and safety of the academy and its users when necessary.
Children and the parent or guardian’s role
Child learner profiles are intended to be created and managed through a parent or guardian account. The parent or guardian should provide accurate information limited to what is needed for learning, supervise the child’s use of the platform, and contact us if the child’s information needs to be corrected or deleted.
A child should not create an independent account or send personal information to us without a parent or guardian’s supervision and permission.
Cookies and local storage
We use essential cookies for secure sign-in, language choice and session status. The browser may also use local storage for preferences such as game sound, or to help save whiteboard data during a session.
We do not currently use the site to serve third-party personalised advertising. If we later add non-essential analytics or advertising tools, we will update this policy and consent choices where required.
Who may receive or access information
We do not sell personal information. We disclose or make it available only as needed to provide and protect the service, including to:
- Authorised teachers and team members according to their roles and responsibilities.
- The learner, parent or guardian, and account-related users within the permissions provided by the platform.
- Hosting, storage, email, communication and backup providers that help us operate the service, where those services are configured.
- Competent authorities when required by law, or when disclosure is necessary to protect rights or safety or to prevent fraud and misuse.
How long we keep information
We keep information while an account is active or while it is needed to deliver learning and support, administer records and invoices, resolve disputes, and meet legal obligations. When information is no longer reasonably needed, we delete or de-identify it. Backup copies may remain for an additional period until they are replaced through the normal backup cycle.
Information security
We use reasonable technical and organisational controls, including role-based access, protected sign-in sessions and one-way password hashing. No electronic transmission or storage method is completely secure, so please protect your credentials and never share them with anyone else.
Your choices and requests
You can review or update many account details inside the platform. You may contact us to request access, correction, deletion or account closure, or to object to a particular use. We may need to verify your identity or guardian status before acting, and may retain records when required for legal or financial administration.
International service
Ayah Academy is an online learning service for families in different countries. Information may therefore be processed or stored outside your country of residence, depending on where the academy and its service providers operate.
Changes to this policy
We may update this policy when the platform or our data practices change. We will post the new version on this page and revise the date above, and may provide an additional notice for a material change.
Privacy questions and requests
Email info@ayah.academy with a description of your request and enough account information for us to identify it. Never send your password or payment details.
